BillMate Privacy Policy

INTRODUCTION

This policy explains how BillMate, developed by Application GuruJi("us", "we", or "our"), collects, uses, shares, and protects information when you use the BillMate app to manage bills, products, customers, suppliers, and stock for your business.

BillMate is a billing and inventory app built for small retail shops. Most of your business data, including bills, products, customers, and stock, is stored directly on your device. This policy describes what leaves your device, when, and why: for optional cloud backup, for signing in, for AI-assisted bill scanning, and for showing ads to free users.

By using BillMate, you agree to the use of your information as described here. If you disagree with any part of this policy, please do not use the app. For questions, use the contact details at the end of this page.

DATA STORED ON YOUR DEVICE

By default, BillMate stores all your business data locally on your device, in a private database the app alone can access:

• •Bills you create, both sale bills and purchase bills, including line items, prices, discounts, and payment status;
• •Products you add, including names, prices, stock levels, barcodes, and batch details;
• •Customers and suppliers you add, including names, phone numbers, and addresses you choose to enter;
• •Credit book (khata) entries and payment records;
• •Your shop's own name, address, contact number, and tax details, used to print bills and receipts.

None of this leaves your device unless you turn on Cloud Backup, sign in, use AI bill scanning, or contribute a barcode. Each of these is described below.

AI BILL SCANNING

BillMate lets you photograph a purchase invoice or a hand-written sale bill instead of typing it in. When you use this feature:

• •The photo you take or select is sent from your device to our backend server, and then to a third-party AI service for text and data extraction;
• •That service reads the image and returns structured data, such as item names, quantities, and prices, which is shown to you for review before anything is saved;
• •The photo is used only to extract this bill data. It is not used for advertising, and we do not use it to train our own models;
• •Our backend does not permanently store the photo after it has been processed;
• •A hand-written sale bill may contain a customer's name or amounts owed if you chose to write them on the paper you photograph. This is handled the same way as any other photo sent for scanning.

The AI service provider processes this data under its own privacy terms, separate from this policy. If you prefer not to use this feature, you can always add bills manually.

ACCOUNT SIGN-IN & CLOUD BACKUP

Signing in and cloud backup are both optional:

• •Signing in uses a third-party sign-in service. We receive your name, email address, and profile photo through it, used to identify your account and confirm your subscription status;
• •If you turn on Cloud Backup (a Pro feature), your bills, products, and customer records are uploaded to our servers so they can be restored on a new device or viewed on our companion web dashboard;
• •Sensitive fields, such as phone numbers and store contact details, are encrypted before being stored on our servers;
• •If you never sign in, none of your business data is uploaded, and the app works fully offline using only local, on-device storage.

DEVICE IDENTIFIERS

BillMate generates a random device identifier, unrelated to your name or account, used for two purposes:

• •Tracking your daily free-use allowance for AI bill scanning and PDF export, so free features can be offered without requiring sign-in;
• •Recording a barcode you scan and a product name you contribute to our shared product catalog, so other shops benefit from auto-filled product details when they scan the same barcode.

ADVERTISING

Free (non-Pro) users may see ads, including rewarded ads that unlock a free AI scan or PDF export for the day. Our ad partner may collect advertising identifiers and device information to serve and measure these ads, under its own privacy policy. Subscribing to BillMate Pro removes ads entirely.

CHILDREN'S PRIVACY

BillMate is a business tool intended for shop owners and staff, and is not directed at children. We do not knowingly collect personal information from anyone under the age of 13 (16 in Europe). If you believe a child has provided us with personal information, please contact us and we will remove it.

YOUR CHOICES

• •You can use BillMate entirely offline without signing in. Sign-in is only required for Pro subscription verification and cloud backup;
• •You can skip AI bill scanning and enter bills manually at any time;
• •You can request deletion of your account and any cloud-backed-up data by contacting us using the details below;
• •Uninstalling the app removes all locally stored data from your device.

THIRD-PARTY SERVICES WE USE

BillMate relies on the following categories of third-party services, each governed by its own privacy policy:

• •A sign-in service, for account authentication;
• •An AI service, for extracting data from bill photos you choose to scan;
• •An advertising service, for showing ads to free users;
• •An app store billing service, for processing subscription purchases;
• •A cloud database provider, which stores backed-up data for signed-in Pro users.
